Kitchen KDS: what it is and why your restaurant needs it

A complete guide to the Kitchen Display System: how it works, the benefits, the costs, and how to roll it out without buying expensive hardware.

April 22, 2025·6 min read

If you've ever worked in a restaurant, you know the scene: the waiter shouts the order through the kitchen door, another ticket joins the row along the pass, the cook asks for the third time "did this table already get their starters?". The Kitchen Display System (KDS) solves exactly this problem.

What is a KDS?

The KDS (Kitchen Display System) is a screen installed in the kitchen that shows orders in real time, the moment the waiter sends them from the app in the dining room. It replaces paper tickets, loose notes, and shouting between the dining room and the kitchen.

Each order appears on the screen with: table number or name, list of dishes, any modifications (gluten-free, extra cheese, etc.) and the time it came in. When the cook prepares a dish, they mark it with a tap — the waiter sees the update instantly on their phone.

How it works in practice

The typical flow with a KDS looks like this:

  • The waiter takes the order at the table on their own smartphone
  • With a tap they send the order: it appears immediately on the kitchen screen
  • The cook prepares the dishes following the order they came in — visible on screen
  • When a dish is ready, the cook marks it on the KDS
  • The waiter gets a notification on their phone: "Table 4 — mains ready"
  • No shouting, no tickets, no confusion

More advanced systems let you split orders by station — sandwiches go to the counter, hot dishes to the hot kitchen, desserts to the pastry station. Each cook only sees what's relevant to them.

Why it cuts errors

70–80% of order errors in a traditional restaurant come down to something trivial: illegible handwriting, a ticket that falls off, mixing up table 6 with table 9. With a digital KDS these errors disappear because:

  • The text is always legible — no handwriting to decipher
  • Orders don't get lost — they're saved digitally
  • Dish modifications (allergies, variants) are clearly highlighted
  • The chronological order is always visible
  • It's impossible to mix up tables — the number is always printed clearly

Studies in the restaurant industry estimate a 20–30% reduction in order errors after introducing a digital system. Fewer errors means fewer remade dishes, fewer unhappy customers, less waste.

Hardware KDS vs software KDS: what it really costs

There are two approaches to a KDS:

Dedicated hardware KDS

Traditional hardware systems (like those from Epson, Star Micronics, or proprietary terminals from big POS vendors) require:

  • Heat-resistant touchscreen: €300–800
  • Installation and wiring: €200–500
  • Annual software license: €300–600
  • Maintenance and support: variable

The total cost of a hardware KDS runs between €1,000 and €2,000 per station, excluding maintenance.

Software KDS on a tablet or existing monitor

With a system like Servito, the KDS runs on any device with a browser: a €100 Android tablet, an iPad, a monitor connected to a PC stick. The software is included in the free plan — zero extra cost.

The savings compared to dedicated hardware are real and significant, especially for anyone opening or running a small-to-medium venue.

How to roll it out in your restaurant

Rolling out a software KDS is simple:

  • Step 1: Pick the device for the kitchen — a cheap tablet works fine. Mount it on a wall or counter bracket, away from the stoves.
  • Step 2: Connect to the venue's WiFi. A 4G hotspot works as a backup if WiFi doesn't reach the kitchen.
  • Step 3: Log into Servito on the tablet with the venue's account and open the KDS section. The screen updates automatically with every new order.
  • Step 4: Configure stations if you have more than one (e.g. hot kitchen, bar, pastry). Each menu category can be assigned to a station.

It usually takes 20 minutes to set everything up, plus one evening service to get used to the new flow.

Common objections and answers

"My cooks are used to paper tickets"

The switch takes a few days to get used to. After a week, almost no one wants to go back — because the KDS is more convenient, not because it's technologically impressive.

"What if the WiFi drops?"

A phone hotspot fixes the problem in 30 seconds. Alternatively, many venues keep a paper pad as backup for emergencies — perfectly reasonable in the first few weeks.

"It costs too much"

With Servito the KDS is included in the free plan. The only cost is the tablet, which you already own or can buy for under €100.

A KDS isn't a luxury for a Michelin-starred restaurant: it's a practical tool that cuts stress, errors and costs in any type of venue. You can start with an old tablet and a WiFi connection.
