Common mistakes in order management

Eight mistakes that repeat in almost every restaurant's order management, with the real cause and a practical fix for each.

Anyone who's worked in a restaurant for a few years has seen all of these mistakes at least once — often made one of them themselves during a rush night. They aren't mistakes of individual carelessness: they're predictable consequences of a process that relies too heavily on memory and paper. Here they are one by one, with the real cause and a practical fix.

1. Illegible handwriting on the order slip

The problem: the waiter writes in a hurry during the rush, the cook misreads a word, the dish comes out wrong.

The fix: an order typed or picked from a structured menu is never ambiguous — there's no handwriting to interpret, just the exact name of the dish chosen from a list.

2. Lost or dropped order slip

The problem: the piece of paper falls, gets stained, ends up in the wrong place — and an entire table waits without anyone noticing until the customer asks "how much longer?".

3. Confusion between similar tables

The problem: table 6 and table 9 look interchangeable when scribbled in a hurry, especially in large dining rooms with unintuitive numbering.

The fix: a visual floor map, with the table clearly selected before adding any dish, removes the ambiguity at the root — the order is literally attached to the right table from the very first tap.

4. Allergies and intolerances not communicated properly

The problem: the customer mentions an allergy out loud, the waiter remembers it (or thinks they do), the note never makes it to the kitchen in writing.

The fix: a note written explicitly on the order, visible in the kitchen next to the dish, leaves no room for anyone's memory. On a sensitive matter like food safety, relying on memory is never acceptable.

5. No record of when it was ordered

The problem: without a timestamp, there's no way to know if a table has been waiting 5 minutes or 35 — until the customer points it out, usually annoyed.

The fix: a visible timer for every order, changing color as time passes, lets the floor and kitchen prioritize whoever has waited longest without having to remember it by heart.

6. Cancelled dishes not recorded properly

The problem: a customer changes their mind or a dish gets remade, but the cancellation isn't logged anywhere — at the end of the night the bill and the stats don't add up, and nobody knows why.

The fix: every cancellation gets recorded explicitly, with who did it and why, so the final bill is always correct and at month's end you can spot whether a specific dish generates too many cancellations (often a sign of a kitchen problem, not a floor one).

7. Sending the same order twice

The problem: the waiter isn't sure whether the order went through, sends it again "just in case" — the kitchen prepares two portions, one gets wasted.

The fix: a clear visual confirmation at the moment of sending (the order shows up immediately in the list of those being prepared) removes the doubt: if it's there, it went through.

8. The till doesn't add up at the end of the night

The problem: cash and card takings calculated by hand, with some difference nobody can explain — often caused by bills closed incorrectly or discounts applied without a record.

The fix: every closed bill automatically records payment method and exact amount, so the end-of-night total is a verifiable sum, not an estimate.

The common thread

Eight different mistakes, one common cause: processes that depend on human memory at the exact moment (evening service) when memory is under the heaviest possible load. It isn't a problem of careless staff — it's a systems problem that leaves no written trace at the right moment.
