Free restaurant management software: does it really exist?

An analysis of free restaurant management tools: what the free plan includes and when it makes sense to move to a paid plan.

If you're looking for free restaurant management software, the good news is it really does exist. The bad news is that “free” often means very different things: some solutions are free only for the first 30 days, others limit features until they become useless, others still are paid for with customer data. This guide explains how to navigate it.

What is restaurant management software?

Restaurant management software (also called a POS, point of sale, or order system) is the software that lets you:

  • Take and send customer orders
  • View orders in the kitchen in real time (KDS)
  • Manage the table map
  • Calculate the bill and split it between multiple people
  • Analyze what sells the most

Traditionally these systems required dedicated hardware — touchscreen terminals, kitchen printers, control units — costing thousands of euros. Today there are software solutions that run on any smartphone or tablet, at much lower cost.

What does “free” actually mean in restaurant software?

The software industry has a freemium model: the basic product is free, advanced features are paid. It's the model used by Spotify, Dropbox, Notion — and also by many restaurant management tools.

The trick is understanding where the line between free and paid sits. Some tools put fundamental features behind the paywall, like sending orders to the kitchen or printing the receipt. Others limit the number of tables or users to the point of making the free plan unusable already for a mid-size bar.

Then there's software with a “free trial” of 14 or 30 days, after which payment kicks in. That's not free software: it's a sales demo.

  • Is data safe and hosted on European servers? Important for GDPR compliance.
  • Is there support in your language? When something breaks at 8:30pm on a Saturday, you need to be able to talk to someone.
