How much does restaurant management software cost

Traditional POS, cloud apps, or free tools: a real comparison of annual costs for running orders and tables in a restaurant.

July 14, 2025·8 min read

“How much does management software cost?” is a question whose answer ranges from zero to several thousand euros a year, depending on what you mean by “management software.” The problem is that quotes often show only the monthly license and hide the rest. Here I try to add it all up, line by line.

The cost items no one shows you in the initial quote

  • Hardware: POS terminal, kitchen printer, card reader, tablet for the floor.
  • Software license: monthly or yearly fee to use the program.
  • Payment fees: a percentage withheld on every card transaction.
  • Activation costs: installation, initial menu setup, staff training.
  • Maintenance and support: a technical support fee, often separate from the license.
  • Contract lock-in: many traditional systems impose 24-36 month contracts with exit penalties.

Traditional POS: the real bill

A traditional POS system from an industry vendor, for a mid-sized restaurant, typically has this cost structure:

  • Terminal + kitchen printer: €800–2,500 one-off (or leased, €30–60/month)
  • Software license: €50–150/month
  • Payment fees: 1.2–2.5% on every card transaction
  • Technical support: €20–50/month

For a venue billing €250,000 a year, with 60% card transactions, the total annual cost (license + support + fees, excluding initial hardware) runs between €3,000 and €5,500.

Modern cloud apps: today's most common model

App/cloud-based systems (like Servito) eliminate the dedicated terminal: they run on smartphones or tablets you already own, in the browser. The typical structure:

  • Hardware: zero, if you already own a smartphone/tablet — otherwise an Android tablet for €100–150
  • License: free plan with basic features, or paid plans €15–50/month for advanced features
  • Payment fees: depends on the payment processor chosen, often independent of the management software
  • Support: included in the subscription, no extra cost

For the same €250,000/year venue, with a mid-tier paid plan, the annual cost runs between €200 and €600, excluding payment fees which remain necessary with any system that accepts cards.

The “free management software”: what's actually included

I covered this in detail in free restaurant management software: does it really exist? — the key point is that “free” usually means free for the base loop (orders, tables, kitchen) with scale limits (number of tables, staff members, stats history). For a small or just-starting venue, this is often enough for years.

The hidden costs that weigh the most over time

Contract lock-in

Many traditional POS vendors impose multi-year contracts with early-exit penalties. If the venue changes management, closes for renovation, or simply wants to switch vendor, the penalty can be worth a year of fees.

Repeated training

Every time you hire seasonal staff — common in this industry — someone has to teach the system from scratch. A complex interface with a weeks-long learning curve costs as much in training hours as a month of software fees.

Hardware that breaks

A dedicated POS terminal breaking down on a busy Saturday night is a serious problem: replacing it takes time and a technician. A tablet or smartphone can be swapped instantly with any other available device, because the software lives in the cloud, not in the hardware.

How to calculate the real cost for your venue

Before signing a contract, run these numbers on paper:

  1. Monthly fee × 12 (never trust just the “starting from” price)
  2. Hardware cost divided by the expected depreciation years
  3. Estimated payment fees on annual card revenue
  4. Training cost for each new hire (hours × hourly cost)
  5. Early exit penalty, if present in the contract

Only by adding up all these items do you get the real comparison between options — not the price advertised on the homepage.

Conclusion

The cheapest software on paper isn't always the cheapest in practice, and vice versa: a free system with no lock-in can end up cheaper than a discounted POS tied to a three-year contract with penalties. Always look at the total annual cost, not the single line item shown in the quote.

Direct comparison: Servito vs notebook and pen, vs Excel/WhatsApp, vs traditional management software. Also read: bar management software. Before choosing, also calculate the food cost of your dishes — another number that affects your real margin, not just the cost of the software.
